Information about the logic process of Confirmed.Church.

Confirmed.Church: A way to fully automate your worship service’s volunteer confirmations and reminders for your favorite ChMS.

[At the moment, it works with Planning Center (PCO). Church Community Builder (CCB) and Elvanto coming soon.]

Why did we create Confirmed.Church?

Confirmed.Church is a more focused solution to a problem within the ChMS planned services component.

Most Church Management Systems (ChMS) that offer worship service planning options offer some combination of email, free texting confirmations, and/or follow up. However, the free texting option used by most worship planning software requires you to know the person’s carrier (whether they use T-mobile or Verizon for example) AND use the SMS gateway provided by the carrier. Usually, this isn’t allowed by most companies outside of the US, so you can’t use your free texting option internationally. For US churches, the nation's largest carrier, Verizon, stopped allowing access to their gateway.

Confirmed.Church is an advanced text confirmation and follow up system that works automatically. It allows you direct texting to your volunteers without needing to know their carrier information. And since it’s traditional texting and we offer multiple global numbers, you can ensure this works in the US (even with Verizon for example), CA, and many other countries around the world that we support.

Here is the logic

Step 1: Sign up and integrate your ChMS.

At the moment, this is Planning Center Services (PCO). Once integrated, your services and people will be synced with Confirmed.Church.

Step 2: Choose your Reminder frequency.

CONFIRMATION REMINDERS (Accept / Decline)

At the moment, Confirmed.Church offers 5 confirmation reminder text options:

2 weeks before the event

10 days before the event

1 week before the event

3 days before the event

1 day before the event

FOLLOW-UP REMINDERS (After person confirms)

At the moment, Confirmed.Church offers 9 reminder text options:

1 month before the event

2 weeks before the event

10 days before the event

1 week before the event

3 days before the event

1 day before the event

1 hour before the event

15 minutes before the event

1 minute before the event

You mix and match which options you want to use. You must have at least one in order for a reminder text to be sent. You can have all seven.

Step 3: Scheduling volunteers

Go into your ChMS (at the moment, this is PCO). Schedule volunteers.

Since Confirmed.Church syncs your people and services (and pulls in the relevant data), we need to know who needs to show up and when.

Step 4: Confirmation texts

This process works for both single and multiple confirmations.

4.1 You send an email service request in Planning Center to your church staff.

4.2 As soon as you send the email service request, Confirmed.Church pulls all our service request data in.

4.3 We run hourly checks to monitor the situation. In other words, who has confirmed and who is still unconfirmed.

4.4 When we find an unconfirmed PCO service request, we send a confirmation reminder text message within 10 minutes.

NOTE: "Unconfirmed" means anyone who has not already answered your email. In other words, people who have answered your email do not get a confirmation reminder text message.

4.5 Your unconfirmed people answer this Confirmed.Church text message with ACCEPT / DECLINE.

4.6 Confirmed.Church sends a request through the API to Planning Center to update that person's status as "accept" or "decline" for that event or events. Then, we send an auto reply text to that person according their choice.

Step 5: Reminder texts

Confirmed.Church automatically sends reminder texts to your confirmed people according to the frequency you set up (Step 2 above).
